Committee Minutes

minutes of committee meeting – 07/04/26

Minutes of Meeting 7th April 2026

Present Mark Clark, Marian Austin, David Parfitt, Jacqui Parfitt, Doug Little, Steve Bradley, Gill Barnes

Apologies Norman Clark, Gregor Muir, Henry Cairns, Claire Abernethy Kennedy

Winter League gone well to date, interesting mix of rounds. Despite one or two comments on social media the races have all been well received and the committee extend their thanks to Lance for all his hard work keeping the league running.

Action  DP to ask Lance if he is happy to run them again next year

Final round at Marks Croft 19th April.  Norman Clark happy to run the BBQ

Action DL to check BBQ clean and ready to use. MC to contact CK to ask Letterfinlay re burgers

DL will buy buns. 2 folk  have offered to marshall, could do with a few more…to reiterate request for marshalls in next email

Crossing marshall at planters track as this has potential for bike/ walker interaction

Invoice for timing will be sent after the event

Mark is liaising with spook on timing

Email needs to stress that people have to register in advance and have to say whether doing short or long course

Also points awarded to long course 1st, then short course next. So to be in with the best chance for league points need to enter long course

Discussion around whether we were setting a precedent giving money to trail association, agreed that it was a one-off event this year to support the LTA

Agreed to get Spook something as a thank you for running the timing. Action DP to arrange

Andy will sort out points in advance. Best 6 out of 8 to count.  Action JP will get trophies together for race

Just Go

Everyone on committee must be on just go and have to keep credentials up to date, Marian highlighted that a couple of committee members needed to update, for example have to enter BC membership each year at renewal. Claire had sent a report that kids club leaders were up to date

Policies

Policies on website…Communications, equality and code for coaches don’t open. Anti bullying, privacy and code for young people do work.  Action DL to see if he can update website so all links work. Also, would be a good idea to include the policies on google drive attached to club email.

New policies are needed relating to kids’ club…for example how we respond to a safeguarding concern and Recruitment policy. We have also got a signed PVG contract for the club which should be linked on the website as well

Kids Club

Waiting for 2 leaders to update 1st aid, everyone else up to date

Lost a couple of leaders so no scope for new groups at present

Plan to restart 1st weekend of May

MC is now running level 2 courses for the college. If there are spaces, he will let kids club know and we can signpost potential new leaders to the course. Action MC to keep us informed of dates

Specsavers

A new Specsavers store has opened in Fort William and Specsavers have reached out to the club offering some financial support. JP has been liaising (and also with committee via email) and they are offering £1000 and are keen for it to go to the women’s pumptrack sessions. JP proposed:

  1. Funding Stephanie McKennas’ activity coach award (£145) so she can take over as lead coach from Mel (as Mel is leaving the area)
  1. Purchasing a new pumptrack bike (the sessions have been really popular and ladies often have to share bikes)
  1. The remainder going towards electricity costs for floodlights so that sessions can run all year round.

This was agreed by committee.

Specsavers are also offering members a 20% discount on glasses and 10% discount on prescription sports goggles, this will be emailed round members once JP has confirmed how it will work. JP is suggesting Specsavers put a banner up at the park alongside the other 2 supporter banners and that the advertising for the ladies’ sessions will include that they are supported by Specsavers

Bank balance

Roughly £10000, GB will confirm

? we would benefit from changing to bank of Scotland or virgin banking as they would allow online banking.  To consider

AOCB

£2500 donation to pumptrack paid as agreed at previous meeting

LTA request for financial help for insurance annually…agreed wait and see what LTA get from race weekend and after race weekend the committee will have discussion, without MC present, and come to a decision as to amount to give

MC reported that the Scottish Enduro Series was returning to Fort William, current plan to have 3 stages at Nevis range, 1 at Torlundy and 1 at Cow Hill.

On cow hill DMBins have put in a planning application for a new trail coming from the summit down to bottom on behalf of LTA. Hoping that this will be stage 5. Environmental survey will be done on the trail from summit to the all user trail, although this is essentially revamping an existing trail DMBins have not managed to get proposal through planning as yet.

Through the high school Developing Young Workforce programme DMbins and LTA have got funding to take 8 high school kids from Kinlochleven to help create the trails. There was some discussion regarding insurance if construction and not maintenance but MC said kids will be working on existing trails not new trails therefore not seen as construction.

Date of Next Meeting to be confirmed
